At Pokhara Mountain Bike Adventures (PMTBA), we prioritize providing a customer-friendly experience and aim to minimize formal terms and conditions. PMTBA is a registered mountain biking and outdoor adventure tour operator recognized by the Government of Nepal's tourism ministry as well as partnering with international tourism organizations, NGOs, INGO , travel companies and magazines that we have secured awards and recognition from travel magazines. PMTBA, team is passionate, humble, honest, and dedicated and is always striving to provide the best possible services to our guests.
Our vision is to promote the quality, professional, personal touch and sustainable tourism in Nepal based on honesty, integrity, and sustainability. We strongly believe in the principle that the customer is always right. We care about your privacy when you join us for mountain biking and outdoor adventure tours. We assure you that protect any of the personal information you share with us. Here is a simplified explanation of our privacy policy.

Collecting Information: At PMTBA, we may need to collect your personal details like your name, your contact, and other important information to assist you with our services.

How We Use Your Information: We will use your personal information for the specific purposes related to your mountain biking trips and other outdoor adventures. This includes communicating with you, processing your bookings, and ensuring your adventure experience is enjoyable and hassle-free.

Sharing Information: We understand the value of your privacy. So, PMTBA assures you not to sell or disclose your personal information to other parties. Unless required by law or with your permission. Sometimes, we may share your information with trusted partners or service providers who assist us in delivering our services to you.

Keeping Your Information Secure: PMTBA have implemented measures to safeguard your personal information from unauthorized access, loss, or misuse. However, it is important to note that no data transmission or storage can guarantee absolute security.

Personal Information

 

We want to make sure everything is in order for your mountain biking and outdoor tours in Nepal. For that, you need to provide PMTBA with some important personal details. We need a scanned copy of your passport for identification purposes. It is also important for PMTBA team to know about your medical conditions (if you have any), and any food allergies or special needs. So that, we can ensure your holiday experience with us is tailored to your specific requirements and preferences. We understand your privacy. So, be assured that we will handle your personal information with utmost care and confidentiality.

Booking and Confirmation

 

A: To secure your booking for an activity /tour a non-refundable but lifetime transferable 15% deposit of the total cost is required at the time of booking. This can be done by the following payment methods.

  1. You can pay by our online payment system 

  2. Bank Transfer by SWIFT CODE

  3. Credit card or debit card 

B: your reservation will be confirmed once we have received the deposit and provided you with a booking confirmation email.

Note: To make it easier for you, we can send you the payment links for transferring your deposit amount through online payment.

Final Payment 

 

The remainder of the balance must be paid not later than 30 days before the tour date in the multi-day/ longer tours and in the shorter trips, we would be flexible. We also have a room where you can pay the amount before the tour departure in our office in cash.

Payment can made by the following methods

Cash in your currency equivalent to NPR or USD/Euros
Credit or Debit card with a 3.5% surcharge
Bank transfer (sender should pay the surcharge of the transfer)

Note:  If there are any bank service charges incurred while submitting a deposit, or paying the full payment they will be the responsibility of the client.

Refund Policy

 

At PMTBA, we understand that sometimes unexpected things happen, and you may need to cancel your booking. PMTBA will do its best to accommodate your needs and reschedule your trip if possible. However, it's important to note that late cancellations can have costs for our company. Depending on when you cancel, we may keep a portion or all of your booking deposit and payments. Any bank charges will be deducted from the refund. Here's an example to provide further clarification:

If you paid the deposit and made the payment, but you need to cancel the trip for some reason and you inform the PMTBA member at least one month in advance, your deposit and payment will be transferred to a future trip.
If you inform PMTBA with less than 20 days notice of the cancellation, 25% of the total payment will be lost.
If you give us notice between 5 and 19 days before the trip, you will lose 30% of the payment.
If you give us less than 24 hours notice, a cancellation charge of 40% will apply, but 60% will remain as credit towards your next trip in the future. Please note that no cash refund will be available.

Trip Cancellation by PMTBA 

 

At PMTBA, we won't cancel your trip unless there's a critical situation. We may cancel or modify your tour if there are unusual circumstances like a state of emergency, war, unrest, a pandemic, or natural disasters. If this happens, we'll offer you an alternative or refund your tour cost. However, we're not responsible for any additional expenses you've incurred due to your booking. 
Note: In the case of a critical situation like COVID-19, all cancelled trips will be rescheduled for a future alternative trip due to the economic and social state that might prevail.

Participant Requirements

 

  1. All participants must be at least 16 years old and children below 15 should be occupied by their guardian. 

  2. Participants must have a reasonable level of fitness and possess basic biking skills to ride mountain biking and cycling tours.

Safety

 

The safety of PMTBA's participants is of utmost importance. All participants must wear appropriate safety gear, including helmets, throughout the tour.
Participants must follow the instructions of PMTBA guides at all times to ensure a safe and enjoyable biking experience. If you like to have your own time for sometimes please let us know we will have options for your needs.

Risk Assumption 

 

Risk assumption means that when you go mountain biking or participate in outdoor adventure activities, there are natural risks involved. As a rider or participant, you agree to accept these risks willingly during the tour. Sometimes, the company may ask you to sign a form called a liability waiver or release form/consent form before starting the tour or renting equipment. This form confirms that you understand and accept the potential risks involved.

Medical and Travel Insurance for your trip to Nepal

 

To ensure a safe and worry-free mountain biking trip to Nepal, it is highly recommended and required to have both travel and medical insurance. Obtain your insurance after booking your trip. The insurance should provide coverage for personal accidents, emergency helicopter evacuations, medical expenses, and unfortunate events such as death. It should also cover bike rentals, lost luggage, and trip cancellations. Please note that PMTBA does not offer insurance specifically for mountain bikes or bicycle rentals if you are renting from our store. In this case, we suggest considering World Nomads for your holiday insurance needs.

Complaints

 

At PMTBA, we believe in honesty and integrity, and we won't make false promises just to secure your business. Our priority is to meet all your demands and needs to make your holiday as a unique and immersive experience during the trip. However, it is important to remember that no one is perfect, and sometimes mistakes can happen for various reasons. If any issues arise, please inform PMTBA immediately so we can address them on the spot to the best of our abilities.

If, for some reason, PMTBA members are unable to resolve the issue due to technical difficulties, PMTBA will make every effort to manage the situation and persistently work towards providing you with the best possible service. As a team of PMTBA, we are committed to taking remedial action and finding a solution.

In the rare event that the issue cannot be resolved within the day, you have the option to directly contact the founder or senior manager, who will personally ensure that the complaint or discomfort is addressed and resolved to the best of their abilities.

Incomplete the Trip

 

If you choose to leave the trip before it's completed, whether due to your own preference or for any other reason, Pokhara Mountain Bike Adventure (PMTBA) will not be responsible for providing any refunds for the mountain biking tours organized by us.

During the Trip

 

In cases you engage in any illegal activities that result in you being required to leave the trip and Nepal, PMTBA (Pokhara Mountain Bike Adventure) will not be responsible for providing any refunds.

Bike Rental with PMTBA

Rental Agreement: Mountain bike Rental from Pokhara Mountain Bike Rental Shop and you agreed to abide by the terms and conditions given below.

Rider Responsibility: You are responsible for the bike during the rental period.  The renter should take good care of the bike like owning the bike, using it responsibly, and following all local laws and regulations.

Bike Condition: We ensure that all our rental bikes are in good working condition before they are rented out. However, we expect you to inspect the bike thoroughly before taking it for your ride.   It is your responsibility to inform the PMTBA Rental shop if you see any mechanical issues or damage on the rental bike.

Rental Duration: The rental period begins from the agreed start date and time until the bike is returned to our shop. Late returns may incur additional charges. If you like to extend the ride please contact us while you are in the trails.

Rental price: Our rental prices are clearly stated and agreed upon at the time of booking. Please note that any additional services such as Jeep shuttles, extra lubricant, tubes, and rear hangers, if needed to be replaced by you or accessories requested, may incur extra charges.

Security Deposit: A security deposit is required for each rental. The deposit will be your valid ID card or cash something worthy. The MTB rentals shop will give you back the deposit when you return the bike in the same condition, however normal wear and tear are accepted.

Cancellation Policy: For some reason, if you have to cancel the booked bike rental. You are responsible for informing the PMTBA Rental Shop as soon as possible. Depending on the time of cancellation, the following policies would be applied.

  1. Cancellations made 10 days before the rental start date will receive a full refund.

  2. Cancellations made before the 3-day rental start date may occur a cancellation fee of 50%

  3. Cancellations made on a rental day will not be eligible for a refund. However, we can postpone your rental for the next day/ next trip but no cash refund would be available. 

Liability: Our MTB Rentals Shop and crew will take all the precautions to ensure your safety, we cannot take responsibility for any accidents, injuries, or damages to the bike and yourself which may occur in the rental period. By renting a bike from us, you acknowledge and accept this liability.

Maintenance and Repairs: Minor adjustments, such as tyre inflation or gear tuning, can be done by the renter. However, any major repairs or damage must be reported to the PMTBA shop immediately.

Lost or theft of the Bike: If the rented bike is lost or theft unfortunately, the renter would be responsible for the replacement of the bike cost or missing components of the bike. You can ask Key which can be provided at the rental shop.

Age and Legal Requirements: Renters must meet the minimum age (16 years) requirement and possess a valid identification document.

Photo, Video and sound recording Release

 

In your mountain biking and outdoor adventure tours with us, we may take photos and videos of you. We believe that in your booking guided tours, MTB rentals and self-guided tours, you give us permission to take and use these visuals in various formats.

We may use these photos and videos to promote our mountain biking and outdoor adventure products. They may appear on our website, social media, brochures, advertisements, and other promotional materials as per our needs.

We respect your privacy. We will not connect your personal information with the released photos or videos without your explicit consent. However, if your photos, videos and recorded materials are already published, we cannot control how a third party has used them.

We at PMTBA inform you that you will not get paid for using your photos or videos. In case you don't like us to use your photos and videos you can alert us by call or text.

If you do not want us to use your photos/videos and recordings and like to withdraw your consent,  please let us know by writing an email or texting us via Whatsapp. However, please be aware that these promised words would only apply in future usage, and materials which are already published may not be affected.

PMTBA would like to assure you that the photos and videos will be used responsibly and avoid any offensive or harmful content.  However, we cannot take any responsibility for any unauthorized use by third parties without our consent.

Once you are booked with PMTBA for the guided, self-guided mountain biking/cycling and outdoor adventures participating in our tours that you confirm you have read, understood, and accepted these terms and conditions.  We solely understand that you agree to release PMTBA and its representatives from any claims, damages, or liabilities associated with the use of your photos or videos and recorded materials.
